Information Regarding ISO Inspection of an Engineering College Library.

Dear Professionals,

Do anyone have an idea regarding ISO inspection in Engineering College Libraries. Please mention the details that we need to produce before ISO. Is there any particular format?

A Quality Management System (QMS) is the management system that addresses the quality aspect of an organization’s processes, products and services. The QMS provides a formalized structure for ensuring that the quality concerns are addressed and met efficiently and effectively. In both ways; for the library staff and for the users of our services it gives immense confidence that they are providing/having services as required. (DNV ISO 9001:2008 training course material)

Now about ISO, ISO has established standards for these QMS's known as the ISO 9000 series. Here in our organization we are following the standard related to the requirement aspect of a QMS, ie. ISO 9001:2008. ISO 9001 is purely based on process approach, ie. how your activities transforming input into output.

If I try to describe the clauses and sections of this standard related to the library work, it will surely become an amateur attempt. Because by considering its scope and the various activities of our library system, I am too inexperienced to advice you. But for the time being I can give my idea about it in a general form, so that you can re-apply that in your concerned field as it demands, in a more appropriate way.

Madam, even though it is based on process approach, we need to keep a certain number of records to complete the audit formality. As it demands there will be periodic internal audits to check and ascertain the standard processes to be followed in any organization. So first of all, you don’t need to worry about the records, because your internal audit’s quality team will specifically tell you what to keep and how? Since in any organization library completes the system, and above that if it follows a standard QMS, it is the responsibility of the librarian to keep a certain number of documents pertaining to quality management and policy implementation procedures.

Normally in the internal audit itself the quality team will verify all the standard procedures and records of your library in the presence of your groups (Library) Quality Leader. In an academic institution like yours, I don’t actually know how structured your quality groups and teams are? But what I am writing is all related to a Special Library related to an organization which has its own products to be marketed outside, in open. So what I am saying is it may be followed in your organization in a different way, but you can prepare in advance.

* First of all there will be a quality manual for your organization keep a copy of that. (Refer it)
* Keep your Group Procedure updated: Detailing everything in the Library.
* Detailed record of weekly QMS meeting minutes.
* Keep the Quality Corner in your Library updated and neat.
* Ensure the availability of Organization’s Quality Objective and Policy Boards in your Library; both in English and Hindi.
* Make sure Organization’s chart is displayed.
* Make sure list of staff is displayed.
* Make sure your Library’s building layout is updated.
* Complete list of services and products from your library.
* Customer satisfaction report/chart displayed.
* Group Objectives for the last 6 months; detailing planned, achieved, measuring element, reasons etc…
* List of records used in your library with file number, person in charge and period of validity updated.
* Keep all the registers available with you;
Accession Register for all medias
Visitor Register
Customer Feedback register
Internet Usage Register
Employee Training/Feedback Register…etc
* Quality Improvement Programs initiated.

Please keep in mind all the registers should be pasted with proper file cover and details updated. After the specific period please close the files and start new. There will be forms for everything, even for editing the pages in a report. So follow the respective ISO forms and procedures and ensure that you have met all the previous audit’s pending corrective steps. And consult your internal audit team members for any doubts, because as it demands they might have getting periodic training in your ISO 9000 series awareness and auditing. Hence there advice will be final for your Library procedures.
